Cancelation and Rescheduling Policies

Your appointments are very important to the One Who Hopes Photography team.  They are reserved especially for you.  We understand that sometimes schedule adjustments are necessary.  Therefore, we respectfully request at least 24 hours notice for cancellations or rescheduling of appointments. 


Brooke values her staff’s time.  She understands they have other jobs, family, and friends with whom they could be spending time.  Brooke pays her staff their entire wage for any missed or late cancelled appointment out of respect for their valuable time.  Therefore, we have a strictly enforced 24 hour cancellation and rescheduling policy.


Any appointment missed, late cancelled, or changed without 24 hour notice will result in a charge equal to 100% of the reserved service amount.  The appointment may be taken off of a contract/package or charged individually.


September through December  are our busiest months. During those months, we may not have the ability to reschedule your appointment if it is canceled within 24 hours. If at all possible, we will reschedule you to an appointment in the following January. Our studio reserves the right to decline rescheduling appointments that have been canceled within 24 hours.


Please understand that when you forget, cancel, or change your appointment without giving enough notice, we miss the opportunity to fill that appointment time, and clients on our wait list miss the opportunity to receive services. 

Please understand that it is your responsibility to remember your appointment dates and times in order to prevent any missed appointments which result in a cancellation fee.  Not receiving an electronic notification of your appointments from us the day before is not sufficient reason to miss an appointment if the original appointment was made via email or text.


Any late arrival will shorten your appointment time and will not be made up by running into the next client’s scheduled appointment. We take only one family evening session per day, so this policy mainly applies to headshot sessions and mini sessions. Canceling a family session within 24 hours means a family on the wait list does not have timely notice, and as a result may not get the session they requested. This also means the revenue that could have been made from the session is lost to our studio. Please provide as much notice as possible.


All appointments must be held with a retainer at the time of booking.  Retainers are between $350-$600 depending on the service. A credit card hold transaction can be made on your credit card to reserve the appointment time. All session fees must be paid at booking.


Emergency absences will be reviewed on an individual basis by our staff.  You may request not to be charged for the late cancelled session in writing within 7 days if you feel such action is warranted.  Our staff will make the decision to honor your request on a case-by-case basis and will respond back to you in writing within 14 days. Typically if a session is forgotten, has been scheduled more than twice, or is canceled within 24 hours, we cannot provide a refund.


It is mutually understood that if a cancellation is due to circumstances beyond any of our control, such as power outage, unfortunate incidence, or weather that requires you or us to have to cancel or be closed during regular business hours, we will reschedule your existing appointment and no discount or charges will apply.


One Who Hopes Photography stands by our policies.  We feel that it is only fair that we honor the same policies to our clients.  If we have to cancel a client with less than 24 hours notice of the appointment scheduled, we will honor the same policy and your next appointment will be free of charge.  OWHP reserves the right to modify a scheduled appointment to a different photographer during the same time allotment if circumstances arise without prior approval of the client. This may include sending out a qualified associate photographer instead of our lead photographer. Unless we have at least 24 hours notice, we will be at the agreed location for your session.
